Workplace Needs Assessment Guide

Before the assessment

The assessors collects background information, which includes

· Background questionnaires completed by the employer and employee assessor

· Copies of the employee’s job description

· Photographs of the employee’s work area

· Copies of any assessment reports or screeners

During the assessment

Stage 1

The assessor meets the employee using either Teams or Zoom. Together, they examine the workplace, and the equipment used, identifying the employee’s strengths and areas of challenge. The assessor will discuss what strategies/reasonable adjustments they think would be helpful to them in the workplace. (approx. 30 mins).

Stage 2

The assessor will speak to the employer or line manager to enable them to discuss their concerns, identify what they see as the employee’s strengths, and discuss adjustments. (approx. 30 mins)

Stage 3

The assessor will meet with the employee and discuss potential reasonable adjustments. (approx. 30 mins)

Stage 4

Finally, the assessor, employee and employer or line manager will meet to discuss reasonable adjustments to ensure they are reasonable from all perspectives (approx. 30 mins)

After the assessment

The assessor will consider the organisation’s specific concerns and requirements before making recommendations for reasonable adjustments.

Next steps

Following the assessment, these will be supplied in a report that will be shared with both the employer and employee.

FAQs

Why is a Workplace Needs Assessment important?
A Workplace Needs Assessment (WPNA) can identify areas of support needed for an individual to thrive at work and feel supported in their environment. For employers, a WPNAs are important to ensure that reasonable adjustments can be made under the Equality Act (2010).
A WPNA costs £500 in total. We also offer payment instalment plans if requested.
The whole process usually takes place over the course of a few weeks. A WPNA typically requires the employee to attend three meetings (two with the assessor and one with their employer included) and for the employer/line manager to attend two (one with the assessor and one with the employee included). Each meeting should take approximately 30 minutes.
The report includes detailed information about the assessment and recommendations for reasonable adjustments. Our team are highly experienced in working with employers and workplaces, so we know the types of recommendations are sensible and helpful. These could include alterations to the work environment, assistive technology, or personalised mentoring.
